Project closeout is the point where creative work, records, and remaining responsibilities come together. A short checklist helps prevent an apparently finished project from leaving unresolved questions.
Confirm What Was Delivered
Compare the final handoff against the agreed deliverables. Record which versions were supplied, where they can be accessed, and whether posting or reporting remains outstanding. Keep approval messages and revision decisions with the project records.
Check the Remaining Responsibilities
Confirm who handles publication, account permissions, product returns if agreed, and any later reporting. Note the end dates for time-limited usage or advertising access. Do not assume that completing the edit also completes every obligation in the agreement.
Reconcile Payment Records
Match the agreed amount and milestones with the invoice or payment records. If the status is unclear, ask what the recorded event means and what remains before receipt. Keep bank details and other sensitive information out of ordinary project messages. Use the payment provider's secure process where required.
Resolve Open Issues
Send a concise summary of outstanding items with the relevant dates and evidence. Separate a delivery question from a payment question so it reaches the right person. Once everything is resolved, retain the records you need and review what made the collaboration easier or harder. Those observations can improve the next brief and proposal.
